Privacy policy
Last updated
This policy explains how Greenline Digital Pty Ltd, ABN 88 699 331 578, handles your personal information when you use this site. It follows the Australian Privacy Principles in the Privacy Act 1988.
Who we are
This site is run by Greenline Digital Pty Ltd, ABN 88 699 331 578. Nick Green, a solar and battery adviser, runs the fit check and makes the calls. We work with a licensed installer partner. In this policy, "we" and "us" mean Greenline Digital Pty Ltd.
To ask a privacy question, to see or correct your information, or to make a complaint, use our privacy request form. It sends your message to Nick, who reads it himself and replies by email. If Nick has called you, you can also ask him on the call.
What information we collect
When you use the fit check, we collect:
- your postcode and your answers to the quiz questions, such as your power bill band, whether you own your home and your budget range
- your first name and email address when you ask for your result, and your mobile number if you ask for a call or book a time to talk with Nick
- a record of what you agreed to: the time, the wording we showed you, the version of the form, your IP address and your browser details
- if you book a time, the date and time you choose and the details you enter in the booking calendar
- the messages we send you and whether they were delivered
Our site also counts how many times each step of the fit check is shown, as one total for each step on each day, without your answers, your postcode or anything else about you. The section on cookies and analytics says more.
We do not ask for payment details, identity documents or health information.
Why we collect and use it
We use your information to:
- work out your fit check result and show you a suggested size and price range
- decide whether to offer you a call (see the next section)
- email you your result and the guide, and, if your answers suggest a talk with Nick could help, a link to choose a time
- call you, if you ticked the box asking Nick to call, or if you chose a time to talk with Nick and agreed to that one call, and only in the calling hours
- keep a record of what you agreed to, so we can show it
- prepare a quote through our installer partner, if you ask Nick for one
- look after the site and fix problems
How we use your answers to decide whether to offer a call
We use the answers you give to decide whether to offer a call.
The fit check applies a fixed set of rules to your answers. The rules give the answers a score, and the result decides what we offer you: a call with Nick, your result and a guide by email, or a note that we cannot help in your area. A computer applies the rules. Nobody reads your answers before the result is shown, and the rules do not use your name, your email address or your mobile number.
If you think the outcome is wrong, use the privacy request form and choose "Look at my fit check result again". Nick will look at your answers himself. Whatever the outcome, you can read every guide on this site.
Who we share it with
We share your information only where we need to:
- Our installer partner. We share your details with them only after you book a call or ask for a quote, so that Nick can prepare the quote through them.
- Service providers. They host the site, store our records and send our messages. They are listed in the table in the next section.
- When the law requires it, or when a court or regulator lawfully asks.
We do not sell your information.
Sending information overseas
Some providers store or can reach information outside Australia. This table lists every provider we use, what it does, the personal information involved and where it is held. Before we use a provider we check its published terms for how it handles personal information.
Some of these providers store or can reach information outside Australia. The last column says where.

How to stop our emails
Every email we send you has a link to stop our emails. Using the link also cancels any call you asked Nick to make. You can also tell Nick when he calls. We stop as soon as we can, and always within the time the Spam Act allows.
The emails we send you are your result and the guide and, if you book a time Nick can call, an email to confirm it. You get them because you asked for them, and each one tells you how to stop.
Phone calls
Nick only calls you if you agreed to a call. You can agree in one of two ways. You can tick the box asking him to call the mobile number you gave. Or, if you took the guide, you can choose a time to talk with Nick on our booking page, give your mobile number there, and press the button under the words that say Nick will call that number at the time you choose. That second agreement is for that one call only, at the time you chose. If you have done neither, Nick does not call you, even if you book a time in the calendar some other way. He calls only on weekdays from 9am to 8pm and on Saturdays from 9am to 5pm, never on Sundays or national public holidays, in your local time. He does not make cold calls.
Your permission to call lasts 30 days from the day you gave it, and a time you choose after that is not called. You can withdraw it at any time by telling Nick when he calls or by using the link in any email from us. If you chose a time to talk with Nick, you can also cancel that call with the link in the confirmation email.
If your number is on the Do Not Call Register, we still only call you because you asked us to, and we stop when you tell us to.
How long we keep it and how we keep it safe
If you did not book a call, we delete your personal details 12 months after you sent them. If you booked a call, we keep them for 24 months from the booking, unless a job goes ahead, when we keep the records we need for that job.
If you booked a call, our booking calendar provider also keeps its own copy of the booking (the name and email address given when booking, and the time) until it is deleted there. Deleting your details from our records does not delete that copy.
After we delete your details we keep two things: a record that shows what you agreed to and when, and, if you opted out, a scrambled (hashed) copy of your email address or mobile number so that we do not contact you again.
Details we have deleted can still be restored from our database provider's backup history for up to 30 days. After that they are gone.
We send your information over encrypted connections and store it encrypted. Access is restricted to Nick and the providers in the table above, who need it to do their job.
How to see or correct your information
You can ask to see the personal information we hold about you, and to correct it. Use the privacy request form and choose "See the information you hold about me" or "Correct my information". If Nick has called you, you can also ask him on the call. We may need to check who you are first. We will reply by email within a reasonable time. If we cannot give you access, we will tell you why.
How to make a complaint
If you are unhappy with how we have handled your information, tell us first. Use the privacy request form and choose "Make a complaint". Nick will look into it and reply by email. If you are not satisfied with our reply, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
What happens to a privacy request or complaint
The form asks for your email address, so that Nick can reply, your message and, if you want to give it, your name. We use them to read your message and answer you, and for nothing else. We do not use them for marketing, and the form has no marketing box.
The form sends your message by email to Nick. Our database does not keep it. The email stays in Nick's mailbox until we no longer need it. Our email provider keeps a copy for up to 30 days, and its backups can hold it for up to seven days after that. We do not send you a confirmation email. The page shows a reference when your message has been sent, and Nick replies to the email address you gave.
The form uses the same kind of bot check as the fit check. It loads only on that page. To stop abuse we count how often one connection and one email address use the form. The counts are scrambled (hashed) and hold none of your words.
Cookies, analytics and your browser
We count how far people get through the fit check ourselves, without an analytics service. When a step of the fit check is shown, your browser tells our own site the name of that step, and our site adds one to that step's total for the day. It does the same when you reach a screen that ends the fit check early, and when a form is sent, without what you typed in it. All we keep is a total for each step on each day.
The count does not use cookies. It does not record your IP address, your browser, your answers, your postcode or your contact details, and it does not follow you from site to site. To stop one connection from sending a flood of counts, we count how often each connection sends one, as the forms do. Those counts are scrambled (hashed), hold nothing else and are deleted after about a week.
Cloudflare, which hosts this site, keeps the site's own logs for up to seven days so that we can find and fix faults. Each entry in the logs records the address of the page that was asked for. For a link in one of our emails, that address can include the link's private code. The logs leave out your name, email address, mobile number and IP address. Cloudflare is listed in the table above.
While you use the fit check, your answers are kept in your browser's session storage on your own device, so that the Back button works and reloading does not lose your place. Your contact details are never kept there.
The bot check on the contact step and on the privacy request form, and the booking calendar, are run by other companies. They load only on those steps and that page, and may set their own cookies. They are in the table above.
